Subscriber Screen

This button opens up the subscriber screen:

The subscriber screen is used to manage the system’s callers. The subscribers account (box) number appears in the “Subscriber” field. Usually, the “Acct #” field will match the “Subscriber” field. Optionally, the person’s name can be filled in by the system operator. This can be helpful in cases where system test accounts are being used. When a caller calls into the system and creates a user account, the “Password” and “Sex” fields will be completed automatically. The password field can be up to 6 characters/digits (Examples: 1122, 1223#, 4442*, 123456).  The “Last Call” field shows the date of the last call into the system. The “Signup Date” shows when the account was created.

Note: The "Sysop" (System Operator) account 1000 will be automatically added for you before your system installation is complete.

Note: When changing information on any of the subscriber screens including any of the tabs (contact info, billing, net terms or credit cards), you MUST press the  button to store the new information. If you do not press the  button, information will be lost. SoftTouch usually warns you if you are about to lose data because of not saving, however, it is not guaranteed.

The  and  buttons on this screen are used to add and remove subscriber accounts. In the case of the delete button, only the currently highlighted account is affected.

Note: Because SoftTouch is interactive with online users, it is possible that new accounts from online signups will be added while you are viewing the subscriber screen. SoftTouch will add the account and return you back to the account you were working on. In this case, you might see the display change briefly. Before deleting or saving any records, make sure the correct account is highlighted. When adding new accounts, SoftTouch will assign a new subscriber account number automatically. It is possible the new account number may not be sequential in number or appear at the bottom of the list. When you press the button, you will NOT be taken to the new account. If the new account number is not obvious, you may need to open the “Activity Screen” and choose the “other” or “all” filter category to see the new account #.

The  button, when callerid or ANI is available, will show the phone number and name associated with each call along with the time/date. Name may not always be available.

The  button is a fast way to determine if someone has any credit or not. The billing class of the account plus any available credit will be displayed. Alternatively, if the account has no credit, a message will be displayed to that effect.

The  button can be used to quickly add 10 new accounts to the system. There may be times when it is necessary to add accounts quickly in situations such as providing free promotional accounts to a large number of people. Be sure to change the passwords for the accounts.

The     buttons allow you to add and remove FREE and PAID credit from accounts. FREE credit is used to provide promotional credit or any time when you do not actually receive any money in exchange for the credit. PAID credit is used when money exchanges hands. By using FREE and PAID credit correctly, you are able to determine how much revenue was received for the year for a particular account.

On the subscriber screen, the  button will take you to the transactions screen for the highlighted account.

You can find a specific account by entering the box number into the “Goto #” field on the subscriber screen.

The subscriber screen has several tabs that appear on the right hand side of the screen. The default tab is “Contact Info”. All the information is optional:

The billing tab allows you to set billing characteristics for an account:

  • Default Terms: controls what the default “Payment Type” is on the transaction screen when posting a payment.
  • CC Approved: No (normal) – credit cards not allowed; Yes (accept) – credit cards allowed; Don’t Accept (same as No but used to indicate a previous problem); and Collections (same as No but indicates account in collection agency).
  • NOTE: If the "CC Approved" field is set to anything other than “Yes (accept)”, the user will not be able to enter the credit card purchase feature online. The user will be played a message saying they are not approved for credit card purchases.
  • Chk Approved: No (normal) – checks not allowed; No (hold) – check already accepted and a “hold” is currently placed on it; Yes (accept) – checks allowed; Don’t Accept (same as No but used to indicate a previous problem); and Collections (same as No but indicates account in collection agency).
  • Net Approved: No (normal) – net terms not allowed; Yes – Net 15, 30, 60 – net terms accepted; Don’t Accept (same as No but used to indicate a previous problem); and Collections (same as No but indicates account in collection agency).
  • Bill Method: Per Message: callers are charged by the message (voice mail, ad, etc.). See the “configuration Wizard” to set these charges; Minute: callers are charged by the minute from the time they logon until they hangup; Monthly: used to indicate anywhere from 1+ days; Exempt: no credit is required for this caller and they can use all system features without restriction; System Operator: this account is now a system operator; Suspended 1-3: account can no longer logon.

The  button is used to ensure that the account information is updated if the person is logged into the system at the same time as you modify billing information. If the person is not online, it is not necessary to press this button.

The net terms tab allows you to see exactly how much credit an account has:

  • Avail. Credits: number of days, minutes, or messages a person has remaining.
  • Free, Paid MTD, YTD: Free and Paid month-to-date and year-to-date dollars posted.
  • Approved Date: date “days” became effective. Does not apply to per minute or per message accounts.
  • Expire After: date “days” expire. Does not apply to per minute or per message accounts.
  • Approved By: optional field for info.
  • Last Pymt Date: date of last payment being posted.
  • Notes: optional.

You can press the   button to set the “Approved Date” and the “Expire After” dates to today (current time). This effectively erases any “days” credit. A blank transaction is also written which will appear in the transactions screen. Any credit based on per minute or per message is not affected.

The credit cards tab allows you to add and manage credit cards for accounts:

Most of the fields are self-explanatory with the exception of “Relationship” which is used for any miscellaneous notes. The “Card Approved” field takes settings of “Not Approved”, “Approved”, “Lost/Stolen” and “Don’t accept”. The “Last Pymt Dt” field shows the last transaction date using a credit card.

Note: When a caller purchases time online using a credit card, the credit card information is automatically added to the “credit cards” tab. The information appears immediately.
